The Volunteer Management Executive (VME) is primarily responsible for the management of volunteers. Reporting to the Volunteer Manager (VM), the VME will play a vital role helping shape the organisation’s volunteer landscape.
Key Responsibilities
- Onboard and coordinate volunteers for their volunteering activities
- Manage volunteer rosters and ensure that the rosters are seeing a steady stream of volunteers
- Work with the direct services teams on volunteer training
- Manage the volunteer management database and ensure that it is kept up to date
- Respond to queries relating to all volunteer matters in a timely fashion
- Build good rapport with and develop good knowledge of our volunteers
- Support the VM in the development of partnerships, policies and processes, budget-planning, and other volunteer-related matters
- Maintain and update volunteer-related materials (such as application forms, policies and procedures, volunteer handbook, etc.)
- Lead volunteer engagement events, i.e., appreciation events
- Conduct volunteer satisfaction surveys, collate and report findings
- Support all secretariat work and volunteer programme reporting for management and internal/external stakeholders
Candidate Requirements/ Skills
- Technical competencies
- Proven track record in administrative and coordination skills, and planning ahead
- Effective verbal and written communication skills; able to adapt communication style to suit different audiences
- Proficiency with CRM software and Microsoft Office Suite
- Event coordination and management experience (physical and digital events) is a plus
- Core competencies
- Willing and able to be present for certain volunteering sessions (evenings), and able to support during periods of emergency
- Organized and detailed-oriented, yet able to think big-picture
- Able to multi-task and deliver effectively, and possess the resilience to handle challenges relating to volunteer management
- Enjoys interacting with volunteers, and able to hold conversations
- Comfortable with interacting with people from different cultures and religions
- Unafraid to ask questions and raise concerns/potential problems early
- Preferred achievements / characteristics
- Experience with volunteer management or familiarity with the local VWO scene is preferred
- Also open to those who have a proven track record in coordination work and administration, if there is no prior volunteer management / VWO experience
